Position: Event Coordinator 

Reports to: Senior Director of Operations 

Location: Washington, DC (Hybrid) 

Salary Range: $60,000 – $80,000

Position Overview: 

We are seeking an organized and proactive Event Coordinator to join our team in Washington, DC. This role will support the Senior Director of Operations in planning and executing both in-person and virtual events that align with AEO’s mission and goals. The ideal candidate will have a strong background in event planning, excellent communication skills, and the ability to manage multiple projects simultaneously. 

Key Responsibilities: 

  • Event Planning and Coordination: Assist in the planning and execution of AEO’s events, including conferences, webinars, workshops, and other special events. 
  • Logistics Management: Coordinate event logistics such as venue selection, catering, transportation, equipment rental, and virtual platform setup. 
  • Vendor Relations: Manage relationships with vendors, including negotiating contracts, ensuring timely delivery of services, and maintaining quality control. 
  • Marketing and Promotion: Work with the marketing team to develop event promotional materials, manage event registrations, and implement marketing strategies to increase attendance and engagement. 
  • Budget Management: Assist in developing and managing event budgets, ensuring events are delivered within financial constraints. 
  • On-site and Virtual Support: Provide on-site and virtual support during events, including attendee registration, troubleshooting technical issues, and ensuring smooth event operations. 
  • Post-Event Evaluation: Collect and analyze feedback from event participants, prepare post-event reports, and suggest improvements for future events. 
  • Compliance and Reporting: Ensure all events comply with legal, health, and safety requirements and report on event outcomes to the Senior Director of Operations. 

Qualifications: 

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field. 
  • Minimum of 2-3 years of experience in event planning and coordination. 
  • Proven ability to plan and execute both in-person and virtual events. 
  • Strong organizational and project management skills. 
  • Excellent written and verbal communication skills. 
  • Ability to manage multiple tasks and work under pressure. 
  • Proficiency in event management software and virtual event platforms. 
  • Flexibility to work evenings and weekends as needed for event execution.
