Position Overview:
We are seeking an organized and proactive Event Coordinator to join our team on a contract basis in Washington, DC. This role will support in planning and executing both in-person and virtual events that align with AEO’s mission and goals. The ideal candidate will have a strong background in event planning that includes demonstrated experience managing events end-to end, excellent communication skills, and the ability to manage multiple projects simultaneously.
Key Responsibilities:
- Event Planning and Coordination: Assist in the planning and execution of AEO’s events, including conferences, webinars, workshops, and other special events.
- Timeline Management: Create and manage detailed event timelines to ensure all activities are executed on schedule.
- Logistics Management: Coordinate event logistics such as venue selection, catering, transportation, equipment rental, and virtual platform setup.
- Vendor Relations: Manage relationships with vendors, including negotiating contracts, ensuring timely delivery of services, and maintaining quality control.
- Marketing and Promotion: Work with the marketing team to develop event promotional materials, manage event registrations, and implement marketing strategies to increase attendance and engagement.
- Budget Management: Assist in developing and managing event budgets, ensuring events are delivered within financial constraints.
- On-site and Virtual Support: Provide on-site and virtual support during events, including attendee registration, troubleshooting technical issues, and ensuring smooth event operations.
- Post-Event Evaluation: Collect and analyze feedback from event participants, prepare post-event reports, and suggest improvements for future events.
- Compliance and Reporting: Ensure all events comply with legal, health, and safety requirements and report on event outcomes.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
- Minimum of 5 years of experience in event planning and coordination.
- Proven ability to plan and execute both in-person and virtual events.
- Experience coordinating corporate events, conferences, or large-scale gatherings.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Familiarity with virtual and hybrid event formats.
- Ability to manage multiple tasks and work under pressure.
- Proficiency in event management software and virtual event platforms.
- Flexibility to work evenings and weekends as needed for event execution.
