Operations Coordinator

Position Summary

The Operations Coordinator is an important role within the Operations Department that is responsible for the coordination of operational functions of the organization. This role will work closely with the Senior Director of Operations to ensure that our operations are streamlined, running efficiently, performing at optimal capacity, and meeting the needs of internal and external stakeholders. We are seeking candidates that are detail and process-oriented and enjoy coordinating operational work within an organization. Priority skills include strong attention to detail, ability to communicate clearly, project and process management, procurement, and financial management. This is a hybrid role with a preference for residence within 60 miles of our headquarters in Washington, DC.

Key Responsibilities

Finance Support:

  • Provide basic financial management review keeping AP, invoicing and other routine processes on track 
  • Maintain accurate records in relevant databases and platforms. Records may include invoices, receipts, w9s, contracts and any other relevant documents 
  • Facilitate tracking of expenditures and ensuring budget alignment 
  • Support in the accurate and timeline processing of relevant procurement forms and payments 
  • Assist in monthly reconciliation of bills 

Operations Coordination:

  • Assist in managing daily operations and office management, including but not limited to maintaining supplies and organizing mail 
  • Provide administrative support to various departments such as scheduling meetings, managing calendars and preparing documents 
  • Identify opportunities for process optimization, cost reduction and performance enhancement through regular evaluation and feedback loops 

Human Resource Coordination

  • Assist in in recruitment process by posting job listings, scheduling interviews, communicating with candidates, and onboarding 
  • Coordinate employee recognition, culture and special events to support employee retention 
  • Support with HR activities as needed 

Technology Coordination:

  • Ensure technology systems and software used by the organization are functioning properly 
  • Provide day-to-day support and education to staff of existing and new technology tools and processes 
  • Assist in the vendor management and procurement of technology software and services 
  • Maintain accurate documentation of technology systems and procedures 

Project Management:

  • Serve as the administrator of AEO’s project management software, Monday.com 
  • Monitor project statuses and reporting deadlines, deliverables, and requirements 
  • Create project management KPIs and tracks progress against those 

Strategic Support:

  • Provide assistance with board communications and management 
  • Conduct research to help inform opportunities for growth and innovation 

Qualifications:

  • Bachelor’s degree in business administration, finance, operations management or related field  
  • Minimum of two years of relevant experience in operations or related field, preferably in the non-profit sector or related industry 
  • Understanding of operations management, administration, financial principles, vendor procurement, and relevant technology  
  • Strong organizational skills and ability to manage multiple tasks and meet deadlines 
  • Demonstrated initiative, innovation, and ability to work independently and as a team member of a team 
  • Proficient in Microsoft office and relevant (or comparable) experience with software applications including SharePoint, Monday.com, Salesforce  
  • Excellent communication and interpersonal skills  
  • Skilled at problem-solving to address issues and implement solutions 
  • Ability to conduct market research and analyze trends in areas such as efficiency, productivity, and cost effectiveness
